# PulseWard > A highly modular, very customizable and adaptable hospital management system for clinics, hospitals and hospital groups in any country. One patient record runs from registration to discharge, with a patient app and a staff workspace. Easy to use: a hospital's own staff can set it up in an afternoon. Hosted by PulseWard or installed on a server the hospital owns. Priced per module, monthly. - Pricing: https://vivanam.com/pricing - Docs: https://vivanam.com/docs ## Who uses it - Patients: appointments, queue token, lab results, prescriptions, bills, messages with the care team. - Staff: outpatient registration, queue, appointments booked at the desk, consultation notes from the hospital's own templates and prescriptions with allergy and interaction warnings, laboratory orders and results with critical value alerts, radiology, admissions, wards and a live bed board, ward rounds, medicines given, intake and output, the labour chart, the operation theatre with a surgical safety checklist, the team and the items used on each case, diet orders, a kitchen board and meals charged on the bill, emergency arrivals with triage and ambulance handover, pharmacy with stock and reorder suggestions, billing with tax per line and prices set per payer, deposits and refunds, cashier shifts and revenue reports, insurance cover and cashless pre-authorisation. The hospital's own logo and colour. - PulseWard's support team: helps with setup when asked and answers when staff need help. The support team has no access to patient records without the hospital's permission. ## Fits any hospital - Size: a clinic can run outpatient care alone; larger hospitals switch on wards, laboratory, radiology, pharmacy, emergency and billing, with any number of departments, wards and beds. Switching a module off keeps its records. - Country: each hospital sets its currency, time zone, date format, number format and first day of the week. Records are stored in universal time. - Coding: diagnoses are coded in ICD-10. - Roles: the hospital owner holds full control and grants each staff member only the access they need, from presets or permission by permission. Extra access can carry an end time and stops by itself. Discounts, refunds and bill cancellations above a limit the hospital sets wait for a second approver. - Look: the hospital's logo, its colour as the accent, and a choice of typefaces including ones designed for easier reading. ## Records - An audit log of every change, and a record of who opened each chart, visible to the owner. - Records are kept in a SQL database, tagged by hospital on every row, with daily backups. - Doctors who work at several hospitals use one sign-in; each hospital's records stay fully separate. - Patient records can always be exported, including when a payment is late. - Prescriptions are written in a structured form from the hospital's drug list, not scanned from paper. ## Hosting - Hosted by PulseWard: staff and patients open a web address; updates and backups are handled by PulseWard. - On the hospital's own server: installed with Docker on a Mac, Windows or Linux machine. The installation is a build licensed to that hospital, checked when it starts and backed by the licence agreement. ## AI PulseWard does not use AI in clinical work today. The coming AI assistant will draft summaries and discharge notes for a clinician to review and sign. It stays off until the hospital owner turns it on, is priced separately, and never makes a clinical decision on its own. ## Pricing Rates are not published while the plans are being reworked into a base and a set of add-on modules. What the shape of a bill is, is settled; what each line costs is quoted per establishment. Hospitals outside India are quoted in their own currency, and local taxes are extra everywhere. - A monthly base plan. It carries the patient app, the staff workspace, appointments and outpatient care, records, notes and prescriptions, roles, the audit log, SMS, email and WhatsApp notices through the hospital's own provider, hosting by PulseWard or a licence for the hospital's own server, and setup the hospital runs itself or a technician runs with them. - A line for each module switched on: inpatient, billing, laboratory, radiology, pharmacy, emergency department, rooms and scheduling, queue tokens, secure messaging, emergency codes, forms and consents, visitor analytics. - A line per bed, at a hospital only. - A storage allowance with the plan, and whole gigabytes past it charged. - A bundle discount that grows with the share of the modules a given shape of business can run, so taking most of them costs less than the sum of them. - Four shapes of business are priced apart: hospital, clinic, standalone laboratory, standalone pharmacy. A lab or a pharmacy buys one module and a few logins, so its base starts lower. - Setup is paid once and sits outside the monthly figure. You run it yourself, we run it remotely, or we come to you. Only the visit costs money. - Coming later: AI assistant, teleconsultation. ## Late payments - Up to 7 days late: everything works; staff see a notice. - 21 days late: new appointments and registrations pause; notes, prescriptions, labs, admissions, emergencies and billing continue. - 51 days late: care of patients already admitted, billing and reading records continue; no new wards, users or settings. - Nothing beyond that happens automatically. ## Setup PulseWard opens the hospital owner's account. The hospital's own staff then set up departments, wards and beds, roles, and branding with guided steps, usually in an afternoon. A PulseWard technician can do it with them instead. No in-house IT team is needed.
